Special Feature:   Turn Off Address Book Auto Entries

Question:  Whenever I get an email, the address is added to my address book, even if it is junk mail. Can I stop this from happening?  I use Outlook Express.


Answer:
Yes, you can stop that.  There is a setting in Outlook Express that automatically turns on adding sender’s addresses to your address book.  Here are the steps to turn it off:

Open Outlook Express. Click Tools on the menu and then click Options. 

In the Options window that is now on your screen, click the Send tab at the top.

On the send page, look for the setting that says Automatically put people I reply to in my Address Book. There is probably a checkmark next to that, which is why all the addresses are showing up in your address book.

Click the box next to this setting to remove the check mark.  Click the OK button to save your changes.

Tips & Tricks:  Set Up Your America Online Address Book

In the Mail menu on the AOL toolbar, click Address Book.  This will open the Address Book window where you can add a new contact or edit an existing contact.

Click Add Contact to add a new contact.  Type the information under the Contact, Home, Work, Phone, or Details tabs. When you have finished, click Save.

Click an existing contact once to select it and then click Edit to modify the information for that contact. Type the information under the Contact, Home, Work, Phone, or Details tabs.  When you have finished, click Save.

Today's Topic:   Email Address Book – Adding Contacts and Groups

Question:  I send email to my children and grandchildren.  Would you tell me how to put their email addresses in my address book so I do not have to type the addresses each time?

Question:  I have a group of friends that I would like to send the same email to.  Can I do this all at once instead of typing in each address?


Answer:
Yes, you can.  You have to put each persons email address in your address book and then set up a Group.  Here are the steps for Outlook Express.  Most address books will be similar.

First, put the individual people in your address book.  To do so, click on Contacts on the left side of your screen, and then click on New Contact.  (If Contacts does not appear on the left side of your screen, click on View on the menu bar and then click on Layout.  This will display the Window Layout Properties box.  In the Basic area, click Contacts and then the OK button.)

When you have clicked on Contact and then New Contact, you will see the Properties window where you can enter information about your contact.  Enter the contacts name and e-mail address in the appropriate boxes.  Click the Add button and then click the OK
button.  This will save your new contact. Repeat these steps for each new contact.

Once you have entered all your contacts, you can create the group.

Click on Tools in the menu bar and then click on Address Book.  In the Address Book window, click on the New button, and then click New Group from the resulting menu.

A Properties window will appear.  Type a name for your group and then click on the Select Members button.  In the Select Group Members window that is now displayed, click on the name of the first group contact that you would like to add to this group and then click on the Select button.  That contact will be added to the Members section on the right side of the window. Repeat steps 1 and 2 until you have all your group members in the Members section on the right.  Click the OK button in this window and click OK again in the group window. Click the X button to close the address book.

In the Outlook Express window, the group will be listed with your other contacts.  To send an e-mail to the group, just double click on the group name under Contacts and a new -mail will open already addressed to the group.

Question:  Outlook Express:  Back Up Your Address Book

Question:  I use Outlook Express and have the email addresses of just about everyone I know in my email address book.  My computer is getting older and I am worried if anything happens to it that I will have to collect all the addresses over again.  Can I make a copy of the address book to save onto a floppy disk?

Answer:
Yes, you can.  Here is how you do it:

Click on Tools on the menu, then Address Book. The Address Book window will open.

In the Address Book window, click File from the menu, point to Export and click Other Address Book.  The Address Book Export Tool window will open.

In this window, select Text File (Comma Separated Values) as the export format. Click the Export button. The CSV Export window will open.

In this window, click the Browse button.  The Save As window will open.  Next to Save in (which will probably default to My Documents), click the small down arrow; click to select 3 1/2 Floppy A:.

Click in the Filename box and type in the filename for your address book.  Click the Save button.  The Save As window will close and you will see the CSV Export window.

Click the Next button.

Select the information you want to include in your backup by clicking on the small box to the left of the field name (ex. Name).  a small checkmark will appear in the box – this indicates that the field is selected and will be included in your saved address book file.

Click the Finish button.  Click OK. Click Close.


Hopefully your computer will last but if you have to use your backed up Address Book, here is how you do it:

Insert the floppy disk into the drive.

Select Tools, then Address Book.

Select File, then Import, then Other Address Book.

Select Text File (Comma Separated Values).

Click Import.

Click Browse.  Maneuver to the floppy drive and select the backup copy of your Outlook Express address book.

Click Next.

Click Finish.

Click OK.

Click Close.
